Applications
Based on the offer, applicants (employees who work at least part-time work at CU) for short-term stays at partner universities in the following calendar year must fill out application forms, which are available in three languages on the web and at the international departments at the faculties. Applications are submitted in English; for German universities, applications must be in German (for Regensburg University there is a special application in German or in English), for Czech universities, application must be in Slovak. Applications are approved, signed and sent out from the IRO at the CU Rectorate by the vice-dean of International Relations.
Deadlines
The deadline for submitting applications is determined by the vice-dean of the given faculty, based on the IRO Rectorate offer.
Selection of Candidates
The selection of candidates is chosen by the IRO at the CU Rectorate, on the basis of the submitted documents from their faculty and their priority. The selection is continuous, and the definitive decision is made by the foreign partner, who receives the applications of successful candidates from CU.
Selection Criteria
The final selection will only consider those application forms, which have been submitted by the given deadline. Priority is given to applications based on already existing cooperation, or if the expected benefit from the stay is innovation of methodology, a new textbook, the study of innovative procedures, measurements on devices unavailable in our country, etc.
Length of Stay and Number of Workers
The university-wide contracts also include short-term teaching and research exchanges. The maximum length of a stay is usually 7 days (departure Sunday - arrival Saturday); with the exception of universities in the Czech Republic and Budapest, where it is usually 5 working days, and at non-European universities it is 10-14 days. As a rule, the maximum number of workers that CU can send to one foreign university in a calendar year is 5; to American universities ad hoc.
Actualization of the Stay
Actualization of short-term stays on the basis of bilateral agreements of CU is financially covered from the budgetary resources of CU. Therefore, the actualization of the stay:
- is always tied to the given calendar year (until 30 November) and is not transferable to the following calendar year
- is not transferable to another person
- in principle, it cannot be combined with another type of foreign trip (participation in a conference, mobility within the Erasmus program, mobility within grants, etc.)
Administration
- after receiving information from the IRO that the partner university accepted them, the worker will come to an arrangement with the foreign partner regarding a suitable date of stay and immediately notify the IRO, which will request official confirmation from the partner university
- the employee will have the stay approved (by the faculty's management) within the agreed time period according to the standard procedure of their faculty and issue a confirmation for the IRO
- the employee delivers the faculty's consent to travel to the IRO and a copy of the Travel Order in IS Sofia, issued by the economic department of the relevant faculty. Traveling without an approved and signed Travel Order is a work discipline violation and the trip will be considered private. In this sense, the foreign partner will also be informed.
Expenses
ACCOMMODATION EXPENSES
The specific conditions for financing accommodation costs associated with a working stay at a foreign partner university are given by the wording of the relevant contract. In the case of European universities, the host institution covers the accommodation costs. Financing of accommodation costs for trips to non-European universities is covered by the sending faculty.
TRAVELING EXPENSES
In the case of foreign business trips of CU staff (bilateral contracts), the relevant faculty provides financing for travel expenses and the Rectorate of CU reimburses authorized expenses.
Please note that a dynamic purchasing system has been set up at the University of Warsaw for the purchase of plane tickets and related services (guideline of the secretaries of the University of Warsaw faculties from 10.1.2023).
The faculty guarantees that the means of public transport with the shortest and most economically advantageous route will be used for transportation.
The use of a private road motor vehicle is possible only in exceptional and justified cases (transfer of samples, literature, etc.) on the basis of a written request of the employee and the consent of the relevant faculty. In such a case, compensation is provided in the amount of an adequate means of public transport. If the reason for using a private road motor vehicle is the journey of several workers to the same destination, only one participant of the trip (not fellow passengers) is entitled to compensation.
Report of Stay
Report of Stay needs to be submitted to the IRO at the CU Rectorate within 10 days after returning.
